Square — Troubleshooting

Something not working as expected with Square? Start here. Find the problem that most closely matches what you are seeing in Peach Suite Pro and follow the recommended steps.

In many cases, the problem affects only one payment, client, service, product, or synchronization item rather than your entire Square connection.

Before You Do Anything Else

If you are not sure whether an action completed, do not immediately repeat it.

  1. Check the current status.
  2. Review Sync Activity when the issue involves synchronization.
  3. Review the payment or income record when the issue involves a payment.
  4. Retry only after you understand the current status.
Important: Repeating an action before checking its status can make it harder to determine what actually happened.

My Square Connection Isn't Working

“Square is disconnected.”

  1. Open Menu → Square → Square Control Center.
  2. Review the current Square connection status.
  3. Follow the available reconnect or reauthorization process.
  4. Return to the Square Control Center and confirm that the connection is active.

If the connection appears active but a synchronization is still failing, review Sync Activity.

“Do I need to reconnect Square?”

Not necessarily. A failed synchronization does not always mean the Square connection itself is broken.

Check Sync Activity first. If the connection is active and only one item failed, the appropriate action may be to correct the item and retry it rather than reconnect Square.

My Square Sync Isn't Working

“Sync All to Square didn't finish.”

  1. Open Square → Sync Activity.
  2. Find the most recent synchronization run.
  3. Review its current status.
  4. If Resume Sync is offered, use it.
  5. Otherwise, review the reported problem before starting another synchronization.

“My sync stopped and I don't know what happened.”

Open Sync Activity. Peach Suite Pro records synchronization activity so you can determine whether the run completed, failed, or requires attention.

“I don't see Resume Sync.”

Resume Sync is available only when Peach Suite Pro determines that the existing synchronization can be safely continued.

If Resume Sync is not shown, review the current synchronization status and any available details before starting another sync.

“I accidentally clicked Sync All more than once.”

Stop and check Sync Activity before taking further action.

Peach Suite Pro includes duplicate-protection behavior for supported synchronization operations. Repeatedly starting additional runs is generally not the best way to resolve a synchronization problem.

A Client, Service, or Product Did Not Sync

“My client did not sync.”

  1. Open Sync Activity.
  2. Find the client-related synchronization result.
  3. Review the status and available details.
  4. Correct any underlying information identified by Peach Suite Pro.
  5. Retry the synchronization when appropriate.

A single client sync problem does not necessarily indicate that your Square connection is broken.

“My service did not sync.”

  1. Open Sync Activity.
  2. Find the affected service.
  3. Review the reported issue.
  4. Correct the underlying information when necessary.
  5. Retry the synchronization.

“My product did not sync.”

  1. Open Sync Activity.
  2. Find the affected product or catalog item.
  3. Review the reported issue.
  4. Correct the underlying information if needed.
  5. Retry the synchronization when appropriate.

Inventory Problems

“My inventory did not sync.”

  1. Open Sync Activity.
  2. Find the inventory-related result.
  3. Review the status and available details.
  4. Correct the underlying business information if needed.
  5. Retry the synchronization when appropriate.
Important: Product synchronization and inventory synchronization are related but are not the same operation.

My Square Payment Is Missing

“I know the client paid with Square, but I don't see the payment in PSP.”

Start by checking whether the payment needs to be retrieved or reconciled.

  1. During appointment close-out, open Add Income.
  2. Select Retrieve Square Data.
  3. Review the information returned by Square.
  4. If the payment still cannot be matched, open Reconcile Square Payments.

“Square shows the payment, but PSP cannot match it to the appointment.”

Use the centralized Reconcile Square Payments workbench.

Depending on the situation, Peach Suite Pro may provide options such as:

  • Review in Add Income
  • Review Existing Income
  • Resolve Items
  • Review Payment
  • Identify Client

“I can't identify the client for the Square payment.”

Use Identify Client in the reconciliation process.

Review the available payment information carefully before selecting a client.

“There is already an income record that might be this payment.”

Use Review Existing Income rather than creating another income record immediately.

Review the records carefully and complete the appropriate reconciliation action.

My Square Payment Amount Doesn't Match

“The amount in PSP is different from what I expected.”

Review the individual Square transaction components rather than comparing only one total number.

  • Sales — sale amount
  • Tax — applicable sales tax
  • Tip — tip associated with the payment
  • Processing Fee — applicable payment processing fee
  • Net Received — amount remaining after applicable processing fees

“Why is the Square transaction time different from my appointment time?”

The appointment time and the Square transaction time represent different events.

Peach Suite Pro may show the Square-created time associated with the payment. It can therefore differ from the scheduled appointment time.

Appointment Close-Out Problems

“The client paid with Square. What do I do?”

  1. Select Finish Session.
  2. Continue to Add Income.
  3. Select Retrieve Square Data.
  4. Review the payment information.
  5. Continue to Session Notes.

“The client paid cash. Do I need Square?”

No. Enter the applicable income information manually through the normal close-out process.

Do not create a fake Square transaction for a cash payment.

“Retrieve Square Data isn't finding my payment.”

  1. Confirm that the correct Square connection is active.
  2. Check whether the transaction exists in the connected Square account.
  3. Review the appointment and payment information carefully.
  4. Open Reconcile Square Payments if the payment needs matching or additional review.

Duplicate or Uncertain Payments

“I think I may have entered the payment twice.”

Stop before entering anything else.

  1. Review the appointment's income information.
  2. Check the Square payment information.
  3. Review the reconciliation status when applicable.
  4. Do not create another income record until you understand what already exists.

“I can't tell whether the payment was already reconciled.”

Review the payment and related income information in Peach Suite Pro before attempting another reconciliation.

Coach Peach Says Something Is Wrong

“Coach Peach told me a Square sync failed. What should I do?”

  1. Read Coach Peach's explanation.
  2. Select View Details / Sync Activity if you want to inspect the problem.
  3. Select Retry Now when an appropriate retry is available.

Coach Peach helps explain and prioritize issues. The Square synchronization system remains responsible for performing and reporting the synchronization.

I'm Seeing “Needs Attention”

Needs Attention means Peach Suite Pro could not complete the item or operation automatically and needs you to review the information provided.

  1. Open the related item or synchronization run.
  2. Read the available details.
  3. Correct the underlying information if necessary.
  4. Retry when appropriate.

Square Is Working, but Something Still Looks Wrong

“Square is connected, but one thing isn't working.”

This often means the problem is specific to the individual record rather than the overall Square connection.

Start with the specific item and review Sync Activity or the relevant payment or income record.

“I don't know whether this is a PSP problem or a Square problem.”

Start inside Peach Suite Pro:

  1. Check the Square connection.
  2. Check Sync Activity.
  3. Check the relevant payment, appointment, or income record.
  4. Review any error or needs-attention message.

These checks usually help determine whether the issue is limited to a specific PSP record, a synchronization process, or the broader Square connection.

When Should I Retry?

Retry when Peach Suite Pro indicates that the item can be safely retried or when you have corrected the underlying issue.

Do not repeatedly retry an item without first reviewing its status and the reported problem.

When Should I Contact Support?

Contact support when:

  • The Square connection cannot be restored.
  • A synchronization continues to fail after you have followed the available corrective steps.
  • A payment cannot be reconciled after reviewing the available options.
  • You see behavior that appears inconsistent with the information shown in Square or Peach Suite Pro.
  • You are unsure whether a payment or synchronization completed and cannot determine the current status.
Tip: When contacting support, include the affected business, the approximate date/time, the type of record involved, and any relevant Square Payment ID or synchronization details shown by Peach Suite Pro.
