Square — Synchronization Scenarios & What to Expect

Not every unusual Square synchronization result is a failure. This guide explains common situations you may encounter when synchronizing Peach Suite Pro with Square.

Use this guide when asking questions such as "What happens if my sync stops?", "Why did one product fail?", or "What should I do next?"

Understanding Square Synchronization

Peach Suite Pro supports synchronization of selected business information with Square, including clients, services, products, and inventory.

Different types of records may require different processing and may produce different results.

Square connection status, synchronization status, and payment reconciliation are separate processes.

Remember: A connected Square account does not mean every supported record has already been synchronized.

Scenario 1 — I Just Connected Square

Connecting Square establishes an authorized connection between Peach Suite Pro and the selected Square account.

This does not automatically confirm that all supported business information has been synchronized.

What to Do

  1. Open Square Control Center.
  2. Confirm the connection is active.
  3. Verify that the correct Square business account is connected.
  4. Review the available synchronization options.
  5. Run the appropriate synchronization when needed.
  6. Review the results in Sync Activity.

Scenario 2 — I Ran Sync All for the First Time

Your first synchronization may involve more records than later synchronizations.

Peach Suite Pro may need to establish or update supported records in Square.

What to Expect

  • The synchronization may process multiple groups of records.
  • Some items may complete before others.
  • Individual records may require attention.
  • Processing time may vary depending on the number of records.

Review Sync Activity after the synchronization to verify the results.

Scenario 3 — My Synchronization Is Taking Longer Than Expected

A large synchronization may take time. A longer processing period does not automatically indicate a failure.

What to Do

  1. Review the current synchronization status.
  2. Check whether processing is still active.
  3. Open Sync Activity for available details.
  4. Do not repeatedly start another full synchronization.
Important: Always check the existing synchronization before starting a new one.

Scenario 4 — I Left the Synchronization Page

Leaving the synchronization screen does not necessarily mean the synchronization stopped or failed.

What to Do

  1. Return to Peach Suite Pro.
  2. Open Sync Activity.
  3. Find the most recent synchronization.
  4. Review its current status.
  5. If Resume Sync is available, use it when appropriate.

Do not assume a new synchronization is needed simply because you navigated away from the page.

Scenario 5 — My Sync Was Interrupted

A synchronization may be interrupted before all supported records finish processing.

What to Do

  1. Open Sync Activity.
  2. Review the interrupted synchronization.
  3. Determine which items completed and which still need attention.
  4. Select Resume Sync when available and appropriate.
  5. Review the final result.
Tip: When Resume Sync is available, prefer continuing the existing run rather than automatically starting another full synchronization.

Scenario 6 — The Sync Completed but Some Items Need Attention

A synchronization may complete its overall processing while individual records still need review.

An item requiring attention does not necessarily mean the entire synchronization failed.

What to Do

  1. Open Sync Activity.
  2. Find the relevant synchronization.
  3. Review any failed or needs-attention items.
  4. Read the available error or status details.
  5. Correct the underlying issue when necessary.
  6. Retry the supported operation when appropriate.

Scenario 7 — A Client, Service, or Product Did Not Sync

A problem affecting one record may be isolated to that particular client, service, or product.

What to Do

  1. Open Sync Activity.
  2. Locate the affected record.
  3. Review its synchronization status and details.
  4. Correct any reported information problem.
  5. Retry when the appropriate option is available.
Important: Do not disconnect Square simply because one client, service, or product failed to synchronize.

Scenario 8 — My Product Synced but Inventory Did Not

Product information and inventory quantities are related, but they are not the same type of data.

Successfully synchronizing a product does not automatically confirm that inventory information was also synchronized.

What to Do

  1. Open Sync Activity.
  2. Review the product synchronization result.
  3. Review the inventory-related result separately.
  4. Check the reported issue or status.
  5. Correct the problem and retry when appropriate.

Confirm that the applicable inventory synchronization feature is enabled for your business configuration.

Scenario 9 — I Ran Sync All More Than Once

If you started multiple synchronizations, review the results before taking additional action.

Peach Suite Pro includes safeguards intended to reduce duplicate records during supported synchronization operations.

However, duplicate protection should not be treated as a reason to repeat synchronization without checking its status.

  1. Open Sync Activity.
  2. Review each synchronization run.
  3. Check the status of any affected records.
  4. Investigate unexpected results before retrying.

Scenario 10 — The Sync Completed but I Cannot Find a Record in Square

A completed synchronization does not mean every Peach Suite Pro record was included.

Only supported information included in the applicable workflow is processed.

What to Check

  1. Confirm you are viewing the correct Square business account.
  2. Open the relevant synchronization in Sync Activity.
  3. Check whether the missing record was included.
  4. Review any item-level status or error details.
  5. Verify that the record type is supported by the selected synchronization.

Scenario 11 — The Same Information Exists in Both Systems

Peach Suite Pro uses supported record mapping and synchronization safeguards to help reduce unnecessary duplicate records.

The existence of similar information in both systems does not automatically mean that a new duplicate record should be created.

Review existing records and synchronization results before creating or importing replacements.

Scenario 12 — A Square Payment Does Not Match an Appointment

A payment existing in Square does not automatically mean that it is associated with the expected Peach Suite Pro appointment or income record.

What to Do

  1. Open Reconcile Square Payments.
  2. Find the payment requiring attention.
  3. Review the available transaction information.
  4. Use the appropriate matching or resolution option.
  5. Complete reconciliation only when the information is correct.

If the client cannot be identified, use Identify Client when available.

If an income record may already exist, use Review Existing Income when appropriate.

Important: Do not create another income record simply because a payment initially appears unmatched.

Scenario 13 — Square Is Connected but Synchronization Still Fails

An active Square connection does not guarantee that every individual synchronization item will complete successfully.

Review Sync Activity to determine whether the problem affects:

  • One specific record.
  • One type of business information.
  • One synchronization run.
  • The broader Square connection.

Investigate the affected area before disconnecting or reconnecting Square.

Scenario 14 — Square Is Temporarily Unavailable

A temporary connection or Square service problem does not automatically indicate that your Peach Suite Pro business records are damaged.

  1. Review the current Square connection status.
  2. Check Sync Activity.
  3. Review the available error information.
  4. Retry only after the underlying issue has been resolved or when the system provides an appropriate retry option.

Scenario 15 — I Want to Review an Earlier Synchronization

Sync Activity provides a history of synchronization runs.

Use it to review:

  • When the synchronization occurred.
  • Which synchronization process was used.
  • Whether processing completed.
  • Which items required attention.
  • Any available comments or notes explaining the purpose of the run.

Optional Synchronization Comments

When the comment feature is available, a short note can explain why the synchronization was performed.

Examples include:

  • Test sync before launch
  • New services added
  • Retail product update
  • Pre-event inventory review

Comments provide business context. They do not change the actual technical synchronization status.

Scenario 16 — Coach Peach Alerts Me About a Square Problem

Coach Peach may identify a synchronization issue that requires attention.

Depending on the available feature and the issue, you may see options such as:

  • Retry Now — Retry the operation when appropriate.
  • View Details / Sync Activity — Review the underlying problem.
  • Dismiss — Dismiss the reminder when appropriate.

Coach Peach helps explain and prioritize synchronization issues. The Square synchronization system remains responsible for performing the operation and reporting its results.
