Square — How Do I...?
Use this guide when you know what you want to do with Square in Peach Suite Pro but need help completing the task.
The instructions below are written for everyday Peach Suite Pro users. You do not need to understand how the Square integration works behind the scenes.
Getting Started
How do I connect Square?
Connect Square when you are ready to use Square payment and synchronization features in Peach Suite Pro.
Where to go
Go to Menu → Square and open the Square Control Center.
What to do
- Open the Square Control Center.
- Select the option to connect your Square account.
- Follow the Square authorization instructions.
- Confirm that you are connecting the Square account that belongs to the correct business.
- Return to Peach Suite Pro and confirm that the connection appears active.
Synchronization
How do I sync everything to Square?
Where to go
Go to Menu → Square → Square Control Center.
What to do
- Confirm that your Square connection is active.
- Select Sync All to Square.
- Allow Peach Suite Pro to process the synchronization.
- Watch the progress information provided by Peach Suite Pro.
- When the sync finishes, open Sync Activity to review the result.
A large synchronization may take time. You do not need to keep clicking the sync button while Peach Suite Pro is processing the work.
How do I know whether my Square sync finished?
Where to go
Go to Menu → Square → Sync Activity.
What to look for
Review the most recent synchronization run and its status. Depending on the result, you may see successful processing, items that need attention, or items that could not be completed.
Tip: If you are unsure whether a sync completed, check Sync Activity before starting another sync. How do I resume a Square sync?
If a synchronization was interrupted and Peach Suite Pro offers Resume Sync, use that option instead of starting another full synchronization.
Where to go
Open the Square Control Center.
What to do
- Review the current synchronization status.
- Select Resume Sync when it is available.
- Allow Peach Suite Pro to continue the existing sync.
- Review Sync Activity after completion.
How do I find out why something did not sync?
Where to go
Go to Menu → Square → Sync Activity.
What to do
- Find the synchronization run containing the item.
- Review the item's status.
- Read the available details about the problem.
- Follow any corrective action provided by Peach Suite Pro.
- Retry the item when the retry option is available.
A failed item does not necessarily mean that your entire Square connection is broken. The issue may affect only one client, service, product, or inventory record.
Clients, Services, Products, and Inventory
How do I sync a client to Square?
Client synchronization is part of the supported Square synchronization workflow.
- Open the Square Control Center.
- Start the applicable synchronization process.
- Review Sync Activity afterward.
- If the client needs attention, review the reported issue before retrying.
Peach Suite Pro is designed to help prevent unnecessary duplicate records when supported information has already been synchronized.
How do I sync a service to Square?
- Open the Square Control Center.
- Run the supported synchronization process.
- Open Sync Activity after the sync.
- Review any service that is marked as failed or needs attention.
How do I sync a product to Square?
- Open the Square Control Center.
- Run the supported synchronization process.
- Open Sync Activity.
- Review any product that could not be synchronized.
Product synchronization and inventory synchronization are related but are not the same operation.
How do I check an inventory sync problem?
- Open Menu → Square → Sync Activity.
- Find the inventory-related synchronization result.
- Read the reported issue.
- Correct the underlying business information when needed.
- Retry the synchronization when appropriate.
Appointments and Square Payments
How do I finish an appointment when the client paid with Square?
Use the normal Peach Suite Pro appointment close-out process. Square does not require a separate appointment-completion system.
- Finish the client session.
- Continue to the income close-out process.
- Select Retrieve Square Data.
- Review the payment information retrieved from Square.
- Continue to Session Notes.
- Complete the appointment close-out.
How do I finish an appointment when the client paid cash?
Use the same unified close-out workflow, but do not retrieve a Square payment for a cash transaction.
- Finish the client session.
- Open the income close-out process.
- Enter the applicable payment information manually.
- Continue to Session Notes.
- Complete the visit.
You should never create a fake Square payment simply because an appointment was completed.
How do I retrieve Square payment information for an appointment?
During the appointment close-out process:
- Open Add Income.
- Select Retrieve Square Data.
- Review the payment information returned by Peach Suite Pro.
- Continue the normal close-out process.
Reconciling Square Payments
How do I reconcile a Square payment?
Where to go
Go to Menu → Income → Reconcile Square Payments or use the corresponding Square navigation link.
What to do
- Find the Square payment that needs attention.
- Review the payment information.
- Select the appropriate review or resolution path.
- Match the payment to the correct Peach Suite Pro record.
- Complete the reconciliation.
Peach Suite Pro uses a centralized reconciliation workbench so payment cleanup follows the same underlying process instead of creating separate payment-matching systems.
How do I reconcile an older Square payment?
Use the centralized Reconcile Square Payments workbench for historical payment cleanup.
- Open the reconciliation workbench.
- Find the historical payment.
- Select the appropriate review option.
- Match the payment with the correct business record.
- Complete the reconciliation.
How do I find an unmatched Square payment?
- Open Reconcile Square Payments.
- Review items that need attention.
- Open the payment for review.
- Use the available client-identification or matching options.
How do I identify the client for a Square payment?
Use the Identify Client resolution path when the payment cannot yet be confidently associated with a client.
Review the available payment information and select the correct client only when you are confident the records belong together.
How do I resolve a Square payment that already has an income record?
Use the Review Existing Income option when Peach Suite Pro has identified an existing income record that may correspond to the Square payment.
Review the records carefully before completing reconciliation. Do not create a second income record simply because the payment initially appears unmatched.
Square Daily Sales
How do I see today's Square sales?
Open the PeachPOS Daily Sales view and review today's Square payment activity.
Depending on your configuration, the view may include:
- Sales
- Tax
- Tips
- Processing fees
- Net received
How do I see Square sales for the week, month, or year?
Use the applicable Daily Sales time-period view to review Square activity for the period you need.
Available summaries can include:
- Today
- Weekly
- Monthly
- Year to date
How do I find a Square payment ID?
Open the Square payment information in the relevant Peach Suite Pro payment or income view. The Square payment ID can be used when you need to identify a specific transaction for review or reconciliation.
How do I understand the Square payment amounts?
Review each amount separately:
- Sales — the sale amount associated with the transaction.
- Tax — applicable sales tax.
- Tip — tip associated with the payment.
- Processing Fee — applicable Square payment processing fee.
- Net Received — the amount remaining after applicable processing fees.
Square Connection and Maintenance
How do I know if Square is connected?
Open the Square Control Center and review the connection status.
If the connection is not active, use the available reconnect or connection-repair process.
How do I reconnect Square?
- Open the Square Control Center.
- Review the current connection status.
- Start the reconnect process when offered.
- Follow Square's authorization instructions.
- Return to Peach Suite Pro and confirm that the connection is active.
How do I check whether a Square problem is affecting the whole business?
Start by checking the Square connection itself.
Then review Sync Activity to determine whether the problem affects:
- A single item
- A specific synchronization run
- A particular type of data
- The broader Square connection
When Something Goes Wrong
What should I do before trying a Square action again?
- Stop and check whether the first action actually completed.
- Open Sync Activity or the relevant payment record.
- Review the current status.
- Only retry when appropriate.
What should I do if Coach Peach tells me a Square sync failed?
- Read Coach Peach's explanation.
- Select Retry Now when appropriate.
- Select View Details / Sync Activity when you want to understand the issue.
- Use Dismiss when you do not need the reminder at that time.
Coach Peach helps explain and prioritize the problem. The Square synchronization system remains responsible for actually performing and reporting the synchronization.
