Getting Started
What is Square in Peach Suite Pro?
Square is Peach Suite Pro's payment integration. Square handles payment processing, while Peach Suite Pro manages the business workflow around appointments, clients, income, products, inventory, and payment reconciliation.
Do I need a Square account to use Square features in Peach Suite Pro?
Yes. Square features in Peach Suite Pro require an authorized Square connection for the business using the integration.
Does Peach Suite Pro replace Square?
No. Square remains the payment processor. Peach Suite Pro works with Square to connect payment activity to your business workflows.
Is PeachPOS the same thing as Square?
No.
PeachPOS is Peach Suite Pro's own point-of-sale and business workflow.
Square is the payment integration and payment processor connection.
They work together, but they are not the same system.
Is PeachBook the same thing as Square?
No.
PeachBook is the Peach Suite Pro booking experience used for scheduling appointments.
Square handles payment processing and supported payment synchronization.
Connecting Square
Can I connect Square to Peach Suite Pro?
Yes. Use the Square Control Center to connect the Square account for the business you are currently managing.
Can I connect the wrong Square account by mistake?
It is important to make sure you authorize the Square account belonging to the correct business.
Before completing the connection, confirm that you are using the correct Square account and location.
Important: Do not authorize a different business's Square account simply because it is the account currently open in your browser. What happens after I connect Square?
Peach Suite Pro can use the authorized Square connection for supported payment and synchronization features.
Your connection status can be reviewed in the Square Control Center.
Do I have to reconnect Square every time I use Peach Suite Pro?
No. The purpose of the connection is to authorize Peach Suite Pro to work with the connected Square account until the connection needs to be repaired, replaced, or reauthorized.
Synchronization
What does “Sync All to Square” do?
Sync All to Square starts the supported synchronization process for information that needs to be synchronized with Square.
Will Sync All create duplicates?
Peach Suite Pro includes duplicate-protection behavior designed to prevent unnecessary duplicate synchronization when supported information has already been processed.
You should still review a problem before repeatedly retrying a failed synchronization.
What happens if a large sync takes a while?
A large synchronization may take time to process. Peach Suite Pro provides progress information so you can see what is happening.
You do not need to repeatedly click Sync All to Square while the existing synchronization is processing.
What does “Resume Sync” mean?
Resume Sync allows Peach Suite Pro to continue an interrupted synchronization when the existing sync can safely be continued.
Should I start another Sync All if my previous sync stopped?
Not immediately.
First check Sync Activity to determine whether the existing synchronization completed, failed, or can be resumed.
What is Sync Activity?
Sync Activity shows synchronization activity and helps you understand what Peach Suite Pro attempted to process.
It can help you determine whether a synchronization was successful, needs attention, or could not be completed.
What does “Needs Attention” mean?
It means Peach Suite Pro could not complete the item or operation automatically and needs you to review the available information.
The problem may involve only one item rather than the entire Square connection.
What if only one client, service, or product failed to sync?
Start with Sync Activity. Review that specific item and follow the available instructions.
A single failed item does not necessarily mean the entire Square connection is broken.
Clients, Services, Products, and Inventory
Does Peach Suite Pro synchronize clients with Square?
Peach Suite Pro supports synchronization of supported client information with Square.
The specific result depends on the applicable synchronization rules and the state of the records.
Does Peach Suite Pro synchronize services with Square?
Supported service information can be synchronized with Square. Use Sync Activity to review the result.
Does Peach Suite Pro synchronize products with Square?
Supported product/catalog information can be synchronized with Square.
Is product synchronization the same as inventory synchronization?
No.
A product or catalog record describes the item itself. Inventory concerns quantities and inventory activity associated with that item.
Peach Suite Pro treats these as related but separate areas.
What should I do if an inventory sync fails?
Open Sync Activity, review the inventory-related item, and follow the available guidance before retrying.
Appointments and Payments
What happens when a client pays with Square?
The Square payment can be brought into the appointment close-out workflow.
For a normal appointment close-out, the workflow is:
- Finish Session
- Continue to Add Income
- Select Retrieve Square Data
- Review the retrieved payment information
- Continue to Session Notes
What if the client paid cash instead?
Complete the same general appointment close-out process, but enter the applicable income information manually rather than retrieving a Square payment.
Do I need to create a Square payment for a cash transaction?
No. A cash transaction should not be turned into a fake Square transaction.
Why can't I find a Square payment for an appointment?
There are several possibilities. The payment may need to be reconciled, the transaction may not match the appointment automatically, or the payment information may need additional review.
Start with Reconcile Square Payments and review the payment information.
Payment Reconciliation
What does “Reconcile Square Payments” mean?
Reconciliation means matching a Square payment with the correct Peach Suite Pro business record.
When should I use Reconcile Square Payments?
Use the reconciliation workbench when a Square payment needs to be matched, reviewed, identified, or otherwise resolved outside the normal appointment close-out flow.
Can I reconcile an older Square payment?
Yes. Historical payment cleanup can be handled through the centralized reconciliation process.
What if Peach Suite Pro already has an income record for the payment?
Use the appropriate existing-income review path rather than creating another income record automatically.
Review the information carefully before completing reconciliation.
What if PSP cannot identify the client for the payment?
Use the Identify Client option in the reconciliation process and select the correct client only after reviewing the available information.
Can reconciling a payment create a duplicate income record?
Peach Suite Pro's reconciliation workflow is designed to help prevent duplicate payment records.
Always review an existing income record before creating another one.
Square Payment Information
What is the Square Payment ID?
The Square Payment ID is the identifier associated with the Square payment. It can be useful when reviewing or reconciling a specific transaction.
Why does the Square transaction time differ from the appointment time?
The appointment time and the Square transaction time represent different events. Peach Suite Pro may display the Square-created time associated with the transaction.
What do Sales, Tax, Tip, Fee, and Net Received mean?
Sales The sales amount associated with the transaction. Tax Applicable sales tax associated with the payment. Tip Tip information associated with the payment. Processing Fee The applicable Square payment processing fee. Net Received The amount remaining after applicable processing fees.Daily Sales

Can I see sales for today, this week, this month, and year to date?
Supported sales summaries can be viewed by the applicable period, including today, weekly, monthly, and year-to-date views.
Connection Problems
How do I know whether my Square connection is working?
Check the connection status in the Square Control Center.
If synchronization is also involved, review Sync Activity.
What should I do if Square is disconnected?
Open the Square Control Center and follow the available reconnect process.
Does a synchronization failure mean Square is disconnected?
Not necessarily.
A synchronization problem may affect only one item or one type of information. Check Sync Activity before assuming the entire connection is unavailable.
What should I do if I am not sure whether an action completed?
Stop before repeating the action.
- Check Sync Activity for synchronization actions.
- Check the relevant payment or income record for payment activity.
- Review the current status.
- Retry only when appropriate.
Coach Peach and Square
Why is Coach Peach talking to me about Square?
Coach Peach can help bring important Square synchronization issues to your attention so they are less likely to be overlooked.
Can Coach Peach fix a Square sync problem?
Coach Peach can explain and prioritize an issue and may offer actions such as Retry Now or View Details / Sync Activity.
The actual Square synchronization is performed and reported by the synchronization system.
Security and Business Separation
Can one business's Square information appear in another business?
Peach Suite Pro is designed to keep business and workspace data separated according to the current business context.
Always make sure you are working in the correct business before connecting Square or performing synchronization actions.
Should I share my Square login with another employee?
No. Each user should use their own authorized account and access Peach Suite Pro according to their assigned permissions.
Sharing credentials makes it harder to determine who performed a business action and can weaken account security.
