Provider Time Off

Provider Time Off blocks periods when a provider is temporarily unavailable for appointments.

Use this page for vacations, personal appointments, training, illness, holidays, or other temporary schedule changes.

What This Page Does

The Provider Time Off page allows you to block a full day or a specific period of time for an individual provider.

Peach Suite Pro removes blocked periods from that provider’s online booking availability.

Before You Begin

Confirm that the provider is active and has normal working hours configured on the Provider Hours page.

Provider Time Off should be used for temporary schedule changes. Use Provider Hours to manage the provider’s normal recurring weekly schedule.

Adding Provider Time Off

1. Open the Booking Control Center.

2. Select Provider Time Off.

3. Choose the provider who will be unavailable.

4. Enter the beginning date and time.

5. Enter the ending date and time.

6. Add a reason or note when appropriate.

7. Confirm that the time-off record is active.

8. Save the record.

Full-Day Time Off

Use a full-day block when the provider will not accept appointments at any time during the selected day.

The provider’s normal working hours remain unchanged, but no public appointment times will be offered during the blocked day.

Partial-Day Time Off

Use a partial-day block when the provider is unavailable for only part of a working day.

For example, a provider who normally works from 9:00 AM until 5:00 PM may be blocked from 12:00 PM until 2:00 PM.

Appointments may still be offered before and after the blocked period when all other availability requirements are satisfied.

Time Off Across Multiple Days

A time-off record may cover more than one day when the provider will be unavailable for an extended period.

Confirm that the beginning and ending dates and times accurately cover the full absence.

How Provider Time Off Affects Online Booking

Peach Suite Pro will not offer an appointment that overlaps an active Provider Time Off record.

The system also considers Business Hours, Provider Hours, Provider Services, existing appointments, and service duration when calculating availability.

Adding time off does not modify the provider’s normal recurring schedule.

Existing Appointments

Adding Provider Time Off does not automatically cancel or reschedule appointments that are already booked.

Review the provider’s calendar before saving time off and contact affected clients when an existing appointment falls within the blocked period.

Editing or Removing Time Off

Edit a time-off record when the dates, times, provider, or reason need to be corrected.

Deactivate or remove the record when the provider becomes available again.

After making a change, use the Availability Test to confirm that the correct appointment times are being offered.

Common Problems

The provider still appears available

Confirm that the time-off record is active and that the correct provider, date, and time range were selected.

Run the Availability Test again after saving the record.

Too much of the provider’s schedule is blocked

Review the beginning and ending times. A full-day or multi-day range may have been entered when only a partial-day block was intended.

An existing appointment still appears on the calendar

Provider Time Off prevents new availability but does not cancel appointments that were already scheduled.

The provider’s regular schedule changed permanently

Update Provider Hours instead of creating repeated time-off records for a permanent weekly schedule change.
