Importing PeachPOS Income
PeachPOS allows businesses to import historical income and transaction data from another point-of-sale system, payment processor, or spreadsheet.
The import process includes field mapping, validation, review, and controlled processing so that records can be checked before they are added to Peach Suite Pro.
Before You Begin
Prepare your source file with one transaction or income record per row and clear column headings.
Your source system may use different field names than PeachPOS. This is normal. During the import process, you will map the source columns to the appropriate PeachPOS fields.
Standard PeachPOS Fields
Depending on the data available in your source file, income information may include:
- Transaction Date and Time
- Sales Amount
- Tax
- Tip
- Processing Fee
- Net Amount
- Payment Processor
- Event Name
- Processor-specific information
Transaction Date vs. Import Date
PeachPOS keeps the original transaction date separate from the date the record was imported into Peach Suite Pro.
When your source file contains the original transaction date and time, map that column to the PeachPOS transaction date field.
The Peach Suite Pro record creation timestamp represents when the record was added to PSP and does not replace the original transaction date.
Event Name
If the income record relates to a market, event, pop-up, location, or other business activity, you may import an Event Name when available.
The Event Name is stored with the income record and can help identify where the sale occurred.
Payment Processors
For processors other than Square, PeachPOS can associate imported income with a configured credit card or payment processor.
Processor names are matched within your workspace. Duplicate processor names are prevented using case-insensitive matching.
Square remains a direct integration and should not be treated as a generic processor import when a live Square connection is being used.
Processor-Specific Fields
PeachPOS supports configurable processor-specific fields for information that does not belong in the standard PSP income fields.
These fields may be labeled to reflect terminology used by your payment processor.
The underlying Peach Suite Pro field structure remains fixed. Custom labels change how processor-specific information is presented but do not rename the actual PSP system fields.
Step 1: Upload Your File
Open the PeachPOS Income Import area and choose the file you want to import.
Before continuing, review your processor-specific labels if the source file contains processor fields that you want to preserve.
Step 2: Map Your Columns
Match each source column to the appropriate PeachPOS field.
Only map a column when the meaning of the source data is clear.
Peach Suite Pro does not guess the meaning of ambiguous columns.
Step 3: Analyze the Import
Peach Suite Pro analyzes the uploaded records before posting them.
Clean records can be prepared for approval, while records containing missing, invalid, or ambiguous information are flagged for review.
Review Status
During review, records may appear with statuses such as:
- Approved — the record is ready to import.
- Hold / Needs Review — information should be reviewed before importing.
- Discard — the record should not be imported.
Review all flagged records before completing the import.
Money Values
PeachPOS validates imported monetary values before posting them. Sales, tax, tips, fees, and net amounts should be stored in separate source columns whenever possible.
Do not combine several monetary values into one source field unless that is the actual value you intend to import.
Important Data Integrity Rule
Peach Suite Pro never invents missing transaction information.
If a required value is missing or a value cannot be interpreted safely, the row is flagged for review instead of being automatically changed.
Processing Larger Imports
Large imports are processed in controlled groups. This improves reliability and allows Peach Suite Pro to track the progress of the import.
After the Import
After processing is complete, review a sample of imported income records and confirm:
- The transaction date is correct
- Sales, tax, tip, fee, and net amounts are correct
- The payment processor is correct
- The Event Name is present when expected
- Processor-specific information appears in the intended fields
