Importing Income — Uploading and Reviewing Income Records
Overview
Peach Suite Pro allows businesses to import historical income records from CSV or Excel spreadsheets.
Income Import helps businesses transfer existing financial history into Peach Suite Pro without manually entering every transaction.
The process includes file upload, field mapping, validation, duplicate review, and posting approved records.
1. Prepare Your Income File
Before importing, organize your financial information in a CSV or Excel file.
Depending on the source and the available import fields, your spreadsheet may include:
- Transaction Date
- Income Description
- Income Amount
- Income Type
- Payment Method
- Client Information (optional)
- Transaction or Reference ID
Use descriptive column headings and keep each transaction on its own row.
Tip: Retain a copy of the original spreadsheet for your records.
2. Check Income Types and Payment Methods
Before starting an import, make sure the appropriate Income Types and Payment Methods are configured in Peach Suite Pro.
These values help imported income records use consistent financial classifications.
Client information is optional for supported income imports.
3. Upload Your File
- Open the Import Center in Peach Suite Pro.
- Select Income Import.
- Choose the CSV or Excel file.
- Upload the file.
- Continue to the field-mapping screen.
Peach Suite Pro creates an import run to track the uploaded information and its processing status.
4. Map Your Spreadsheet Columns
The mapping screen allows you to connect spreadsheet columns to the corresponding Peach Suite Pro income fields.
For example:
| Spreadsheet Column | Peach Suite Pro Field |
|---|---|
| Sale Date | Transaction Date |
| Revenue | Amount |
| Category | Income Type |
| Paid Through | Payment Method |
| Notes | Description |
These examples illustrate how mapping works. Available fields depend on the import format.
Review each selection carefully and leave unnecessary columns unmapped where allowed.
Continue when the mappings are correct.
5. Validate and Review Your Transactions
Peach Suite Pro analyzes imported rows before posting them to Income.
The review process helps identify:
- Missing required information
- Invalid transaction values
- Unresolved field mappings
- Possible duplicate transactions
- Transactions requiring additional review
Review flagged entries and resolve issues before processing.
Duplicate Detection
The import system includes duplicate safeguards to help avoid recording the same transaction more than once.
A matching amount or date does not always mean two transactions are duplicates.
Review the transaction details, including any available reference identifiers, before deciding whether to import or skip a flagged entry.
6. Approve and Process Income Records
Once the file has been analyzed:
- Review the import summary.
- Examine any transactions requiring attention.
- Select the appropriate review decisions.
- Confirm which records should be imported.
- Proceed with the available processing action.
- Review the final results.
Approved records are posted to Peach Suite Pro's Income records.
Records that are rejected, skipped, or invalid are not posted as approved income.
7. Review Import Results
After processing, review the import summary for:
- Imported records
- Skipped records
- Errors
- Transactions requiring further attention
Compare imported totals against the original source file and resolve any differences.
Troubleshooting
My spreadsheet columns are not matching correctly.
Return to the mapping screen and verify that each source column is assigned to the correct field.
Some transactions require review.
Check the validation messages and review any missing values, unresolved categories, or possible duplicates.
A transaction was skipped.
Review the import results to determine whether it was invalid, identified as a duplicate, or excluded during review.
My imported income total differs from my spreadsheet total.
Check for skipped transactions, errors, duplicate decisions, and differences between the source amount and imported amount.
Best Practices
Always review your import before processing, retain your original file, and compare the completed import with your source financial records.
For large historical imports, consider organizing records by reporting period so the results are easier to reconcile.
