The Daily Schedule can help the business prepare for upcoming clients, identify appointments requiring attention, and keep the day organized.

- Name of the person receiving the appointment
- Service name
- Appointment duration
- Provider
- Room or location
- Appointment status
- Price recorded at booking
- Client phone number or email address
- Appointment notes
- Import or review status
The information shown is based on the appointment record currently stored in Peach Suite Pro.
Appointment Order
Appointments are generally displayed in time order so the business can review the day from the earliest appointment to the latest appointment.
Review the schedule at the beginning of the day and again whenever an appointment is added, changed, cancelled, or completed.
Appointment Status
The appointment status explains the current stage of an appointment.
Common statuses may include:
- Booked
- Imported or Needs Review
- Completed
- Cancelled
- Overdue
Booked
The appointment is scheduled and has not yet been completed or cancelled.
Imported or Needs Review
The appointment was imported from an outside booking source and should be reviewed for accuracy.
Confirm the client, service, appointment time, provider, duration, price, and other booking information before marking the appointment as reviewed.
Completed
The appointment has been completed.
Income from services, retail products, tips, taxes, discounts, and payment information should normally be recorded through Finish Session.
Cancelled
The appointment was cancelled and should no longer be treated as an active appointment for the day.
Overdue
The scheduled appointment time or date has passed, but the appointment is still marked as booked.
Review overdue appointments and either complete, cancel, reschedule, or otherwise update them as appropriate.
Appointment Colors
Appointment colors may help identify the current status quickly.
Peach Suite Pro may use colors such as:
- Gray — Booked
- Yellow — Imported or Needs Review
- Red — Overdue
- Green — Completed
Always review the written appointment status in addition to the color.
Viewing Appointment Details
Select an appointment to open its details.
The appointment details may include:
- Client name
- Appointment recipient
- Date and time
- Service
- Duration
- Provider
- Room
- Price at booking
- Appointment status
- Client phone number
- Client email address
- Appointment notes
Review these details before changing, completing, or contacting the client about the appointment.
Provider Information
The Provider identifies the person scheduled to perform the service.
In a business with one provider, Peach Suite Pro may automatically use the owner or default provider.
In a business with multiple providers, review the assigned provider carefully to prevent scheduling errors.
If an appointment was booked using an Any Available option, assign the appropriate provider when required.
Appointment Recipient
The person attending the appointment may be different from the client who booked or paid for the appointment.
When available, the Appointment For information identifies the person receiving the service.
Review both the client name and appointment recipient when:
- A family member booked for another person
- A gift appointment was scheduled
- One email address was used for multiple people
- An appointment was imported from another booking system
Room and Location
The room or location identifies where the service is scheduled to take place.
Review room assignments when the business has multiple rooms, treatment areas, or locations.
Confirm that two appointments requiring the same room have not been scheduled for overlapping times.
Appointment Duration
The appointment duration helps determine how much time is reserved for the service.
Duration may be based on the selected Service Type or the time entered when the appointment was created.
Review duration carefully when:
- A service was changed
- An add-on was added
- Extra preparation or cleanup time is required
- The appointment was imported
- The provider needs additional time
An incorrect duration may cause scheduling conflicts or create inaccurate open-time availability.
Price at Booking
The Price at Booking represents the expected service price recorded when the appointment was scheduled.
This amount may be used for projected revenue and scheduling information.
The final amount may be different because of:
- Service changes
- Additional services
- Retail purchases
- Discounts
- Gift certificates
- Tips
- Taxes
The final financial details should normally be entered through Finish Session.
Contacting the Client
When contact links are available, use the client’s phone number or email address to communicate about the appointment.
Common reasons to contact a client include:
- Confirming the appointment
- Sending a reminder
- Clarifying appointment details
- Advising the client of a scheduling change
- Requesting required forms or information
Before sending an SMS or email, review the client’s current contact preferences and communication eligibility.
Do not include unnecessary medical, treatment, financial, or other sensitive information in SMS or email messages.
Appointment Reminders
The Daily Schedule may help identify clients who need an appointment reminder.
Before sending a reminder, confirm:
- The appointment date and time are correct
- The client’s contact information is correct
- The client is eligible to receive the message
- A reminder has not already been sent
- No duplicate reminder is pending
Review SMS and Email History before manually sending another reminder.
Editing an Appointment
Use Edit when appointment information needs to be corrected or changed.
Information that may be updated includes:
- Date
- Time
- Service
- Duration
- Provider
- Room
- Price at booking
- Status
- Notes
After editing, return to the Daily Schedule and confirm that the appointment appears correctly.
When changing the date, time, provider, or room, review the schedule for conflicts.
Rescheduling an Appointment
When an appointment is moved to another date or time, update the existing appointment rather than creating an unnecessary duplicate.
Before rescheduling, confirm:
- The new date and time
- The provider’s availability
- The room’s availability
- The service duration
- The client’s agreement to the change
After saving the change, confirm that the appointment appears on the correct day.
Cancelling an Appointment
Use the appropriate cancellation status when a scheduled appointment will not occur.
Do not leave a cancelled appointment marked as Booked.
Keeping the correct status helps prevent:
- Incorrect projected revenue
- False overdue appointments
- Unnecessary reminders
- Confusion about provider availability
Include a cancellation note when useful for business records.
Completing an Appointment
After the service is completed, use Finish Session to record the appointment’s final financial information.
Finish Session may record:
- Service charges
- Retail product sales
- Discounts
- Gift certificate use
- Taxes
- Tips
- Payment method
- Credit card payment information
- Credit card processing fees
Completing the appointment through Finish Session helps keep the client, appointment, income, inventory, and reporting records connected.
Imported Appointments
Appointments imported from another booking source may require owner or staff review.
Before approving an imported appointment, review:
- Client name
- Appointment recipient
- Client phone number
- Client email address
- Service
- Date and time
- Duration
- Provider
- Price
- Payment information
After the appointment is reviewed, update its review status so it no longer appears as requiring attention.
Overdue Appointments
An overdue appointment is a past appointment that is still marked as booked.
Review each overdue appointment and determine whether it should be:
- Completed through Finish Session
- Cancelled
- Rescheduled
- Marked with another appropriate status
Keeping overdue appointments current improves appointment reports, projected revenue, Coach Peach recommendations, and business summaries.
Schedule Preparation
Review the Daily Schedule before the first appointment of the day.
Confirm:
- All expected appointments are listed
- Providers are assigned correctly
- Rooms are available
- Appointment durations are reasonable
- Imported appointments have been reviewed
- Client contact information is available
- Required forms or documents have been completed
- Special appointment notes have been reviewed
- Supplies and products are available
Schedule Changes During the Day
Refresh or revisit the Daily Schedule after appointments are added, edited, cancelled, imported, rescheduled, or completed.
Changes made by another authorized user may affect:
- Provider availability
- Room availability
- Appointment order
- Projected revenue
- Client reminders
No Appointments Scheduled
If no appointments are displayed, confirm:
- The correct date is selected
- The appointment was saved successfully
- The appointment was not moved to another date
- The appointment is not hidden by a status or provider filter
- The appointment was not cancelled or deleted
A day with no scheduled appointments may also provide time for client follow-up, inventory work, business administration, education, or marketing.
Printing the Daily Schedule
When available, use the Print option to create a printed copy of the selected day’s schedule.
Before printing, confirm:
- The correct date is selected
- Recent schedule changes are displayed
- Imported appointments have been reviewed
- Cancelled appointments are identified correctly
Protect printed schedules because they may contain client names and contact information.
Dispose of printed schedules securely when they are no longer needed.
Privacy and Access
The Daily Schedule may contain private client and appointment information.
Only authorized users should view or update the schedule.
Do not leave the Daily Schedule visible on an unattended shared computer.
Do not share client names, contact information, appointment notes, or treatment details with unauthorized individuals.

Edit the appointment and select the correct provider.
The Appointment Time Is Incorrect
Edit the appointment and confirm both the date and time before saving.
