Learn how to use the Peach Suite Pro Calendar to view, manage, and navigate appointments across the available calendar views.

Calendar

The Peach Suite Pro Calendar gives you four ways to review your schedule: Day View, Week View, Month View, and Year View. Each view is designed for a different level of detail, from managing an individual appointment to reviewing workload across an entire year.

Choosing a Calendar View

Day View

Day View is the most detailed Calendar view. It displays the selected date as a provider-based timeline.

  • Use Previous Day, Today, and Next Day to move between dates.
  • Use Go To Date to jump directly to another date.
  • Use Week, Month, or Year to change Calendar views.
  • Use Schedule Appointment to begin scheduling a new appointment for the displayed date.
  • Use Daily Schedule to open the Daily Schedule for the displayed date.

Day View shows the number of active appointments and the business hours entered for that date. Each scheduled provider has a separate timeline lane showing that provider's working hours.

Each provider has an assigned color. In Day View, that provider color is used as an accent on the provider lane and appointment blocks so you can quickly identify which provider is assigned to an appointment.

When viewing today, a current-time line appears on the timeline when the current business time falls within the displayed schedule.

Day View Appointment Status Colors

Appointment status styling is separate from provider color. The appointment block background shows the appointment's current scheduling state.

  • Booked — active scheduled appointment.
  • Needs Review — imported appointment that has not yet been reviewed.
  • Overdue — booked appointment whose scheduled time has passed.
  • Completed — appointment that has been completed.
  • Cancelled — cancelled appointment retained in the schedule history.

Click an appointment block to open the Appointment Command Center.

Week View

Week View displays Sunday through Saturday for the selected week. Appointments are grouped by day.

  • Use Previous Week, Current Week, and Next Week to move through the Calendar.
  • Use Go To Date to jump to the week containing a selected date.
  • Click a weekday heading to open that date in Day View.
  • Click the date number inside a day to open that date's Daily Schedule.

Each Week View appointment block displays the appointment time, client, provider when assigned, service, review indicator when applicable, and appointment status. Click an appointment block to open the Appointment Command Center.

Month View

Month View provides a workload overview for an entire month.

  • Use Previous Month, Current Month, and Next Month to move between months.
  • Use Go To Date to jump to the month containing a selected date.
  • Use Day, Week, or Year to change Calendar views.
  • Click any day to open that date in Day View.

A day with appointments can show the appointment count, scheduled minutes, percentage booked, and provider-colored indicators. Days without appointments are identified as No appointments.

Workload shading helps identify lighter and heavier days at a glance.

Year View

Year View provides a high-level picture of scheduling activity across the selected year.

  • Use Previous Year, Current Year, and Next Year to move between years.
  • Use Go To Date to jump to the year containing a selected date.
  • Use Day, Week, or Month to change Calendar views.
  • Click a month name to open that month in Month View.
  • Click a date to open that date in Day View.

Year View summarizes total scheduled appointments and scheduled hours. Each month also displays its appointment total. Provider-colored indicators and workload shading help show scheduling activity throughout the year.

The workload legend ranges from Light to Moderate, Busy, and Heavily Booked.

Appointment Command Center

The Appointment Command Center opens when you click an appointment from Day View or Week View. It is the primary Calendar workspace for reviewing an appointment and choosing the next action.

Depending on the appointment, it can display:

  • Client or appointment contact name.
  • Phone number and email address.
  • Who booked the appointment when the appointment was booked for someone else.
  • Booking confirmation number when available.
  • Service and provider.
  • Appointment date and time.
  • Duration.
  • Price at booking.
  • Appointment status.
  • Appointment notes.

Today's Contact

Today's Contact lets you record contact information that applies only to this appointment. It defaults to the client's normal contact information.

You can enter a contact name, contact phone number, and contact note. For example, you may note that another person should be called when the appointment is finished.

Changes to Today's Contact do not replace the client's normal contact information. Clearing the appointment-specific name or phone and saving returns that field to the client default.

Rescheduling an Appointment

Calendar rescheduling is a date-and-time change. Service and other appointment details are handled separately through Edit Appointment.

Quick Reschedule

From the Appointment Command Center, click Reschedule. Enter the new date and time, then confirm the reschedule.

Peach Suite Pro checks the existing appointment's provider, service, duration, and schedule availability before allowing the new time.

  • Booked appointments may be rescheduled.
  • Cancelled or Canceled appointments may be rescheduled and become Booked again.
  • Completed appointments cannot be rescheduled.
  • No Show appointments cannot be rescheduled.
  • Other historical or inactive appointment statuses cannot be rescheduled.

Rescheduling preserves the appointment's service, provider, duration, price, and notes.

Edit Appointment

Use Edit Appointment when you need to change appointment details such as the service, provider-related details, duration, price, notes, or other editable appointment information.

Use Reschedule, not Edit Appointment, when the purpose is simply to move the appointment to another date or time.

Finishing an Appointment

Finish Session

Click Finish Session to begin the appointment closeout workflow. Peach Suite Pro takes you into the income/payment step and then continues to the post-session notes and summary workflow.

Cancelling an Appointment

Cancel Appointment is available for booked appointments. Peach Suite Pro asks for confirmation before cancelling the appointment.

A cancelled appointment remains part of the appointment history and may later be rescheduled. If it is rescheduled, its status returns to Booked.

Scheduling a New Appointment

From Day View, click Schedule Appointment to begin a new appointment for the displayed date.

You can also open Daily Schedule for the selected date. In Week View, clicking a date number opens that day's Daily Schedule.
