Calendar & Appointments Troubleshooting
Use this page when something in the Calendar or appointment workflow does not behave the way you expected.
These troubleshooting steps focus on symptoms such as an unavailable appointment time, a missing appointment, an unexpected status, a redirect, or an appointment action that will not continue.
I selected an appointment time, but now it says the time is unavailable.
What this usually means
Peach Suite Pro rechecks appointment availability before the booking is completed. A time that appeared available a moment ago may no longer be available when the final booking check occurs.
This may happen when:
- Another appointment now occupies the time.
- The provider's availability changed.
- The time falls outside the provider's or business's available hours.
- A schedule block or time-off period affects the selected time.
- The selected service duration no longer fits into the remaining available time.
What to check
- Return to the available appointment times.
- Confirm that the correct date and provider are selected.
- Check the Calendar for an appointment or blocked period at that time.
- Confirm that the selected service fits within the available schedule.
How to correct it
Select another available time. If the original time should still be available, review the provider schedule, business hours, appointments, and time-off settings that could be affecting the slot.
If the time continues to show as unavailable even though the schedule appears open, contact Peach Suite Pro Support with the date, time, provider, and service you were trying to book.
An appointment is not showing on my Calendar.
What this usually means
The appointment may exist but be outside the date or Calendar view you are currently looking at, or it may have a status that makes it appear differently than expected.
What to check
- Confirm the appointment date.
- Check the Daily, Weekly, Monthly, or Yearly view as appropriate.
- Review the Appointments list for the client or appointment.
- Check whether the appointment was cancelled or rescheduled.
- Confirm that you are viewing the correct business workspace.
How to correct it
Open the appointment from the Appointments list if available and confirm its current date, time, provider, and status.
If the appointment exists in the Appointments list but still does not appear where expected on the Calendar, contact Support with the appointment details.
Why is an appointment marked Overdue?
What this usually means
An appointment may become Overdue when its scheduled time has passed but the appointment has not yet been moved into an appropriate completed, cancelled, or other final status.
What to check
- Confirm that the appointment actually occurred.
- Check whether the appointment still needs to be completed.
- Determine whether the client cancelled or did not show.
- Review any remaining appointment close-out actions.
How to correct it
Open the appointment and complete the appropriate appointment action based on what actually happened.
I cannot reschedule an appointment.
What this usually means
Rescheduling availability depends on the appointment's current status. Some finalized appointment statuses are intentionally protected from being moved to a new date or time.
What to check
- Check the appointment's current status.
- Confirm that the appointment is still eligible to be rescheduled.
- Check whether the new date and time are actually available.
How to correct it
A Booked appointment can normally be moved to another available time. A cancelled appointment can also be rescheduled when appropriate.
If an appointment has already been finalized as Completed or No Show, create a new appointment instead of changing the historical appointment.
I rescheduled a cancelled appointment and now it says Booked.
What this usually means
This is expected behavior. When a cancelled appointment is intentionally rescheduled to a new date and time, it becomes an active appointment again and returns to Booked status.
What to check
Confirm that the new date and time are correct and that you intended to reactivate the appointment.
How to correct it
No correction is needed if the appointment was intentionally rescheduled. If it should remain cancelled, cancel the appointment again rather than leaving it active.
Daily Schedule does not match what I expected to see.
What this usually means
Daily Schedule focuses on appointments for a specific day. A difference may be caused by the selected date, an appointment status, a rescheduled appointment, or an appointment that belongs to another day.
What to check
- Confirm the date shown on Daily Schedule.
- Compare it with the same date on the Calendar.
- Check whether an appointment was recently rescheduled or cancelled.
- Open the appointment to confirm its saved date and time.
How to correct it
Navigate to the correct date and verify the appointment details. If the saved appointment information is correct but the Daily Schedule still does not match, contact Support.
I keep getting redirected when I try to use an appointment action.
What this usually means
A redirect can occur when Peach Suite Pro needs to send you to the correct step in the appointment workflow, when an action is no longer valid for the appointment's current state, or when access to the requested page is no longer available.
What to check
- Open the appointment again and confirm its current status.
- Make sure you are using the appropriate action for that appointment.
- Confirm that you are still signed in to Peach Suite Pro.
- Try returning to the Calendar or Appointments list and reopening the appointment.
How to correct it
Restart the action from the appointment's current page rather than repeatedly using an older browser page or tab.
If the same redirect continues and prevents you from completing the appropriate action, contact Support and include the action you clicked and the page where Peach Suite Pro sent you.
Finish Session or Add Income is not working as expected.
What this usually means
Finish Session is part of the appointment close-out workflow. The appointment may need to be in the correct state before the next close-out step is available.
What to check
- Confirm that you opened the correct appointment.
- Check the appointment's current status.
- Confirm whether income has already been recorded for the appointment.
- If Square was used, verify that you are following the available Square reconciliation workflow.
How to correct it
Return to the appointment and restart the appropriate close-out action. Avoid creating duplicate income if the transaction has already been recorded.
If you cannot continue the close-out workflow, contact Support before entering a duplicate transaction.
An appointment reminder or action is not available.
What this usually means
Some appointment communication actions depend on the business's communication setup, the client's contact information, and the client's applicable communication preferences or consent.
What to check
- Confirm that the client has the required phone number or email address.
- Review the client's contact preferences.
- Confirm that the applicable communication service is available for the business.
- Check whether the appointment is in a status where the action is appropriate.
How to correct it
Correct the missing appointment or client information when appropriate. Do not change a client's communication consent simply to make a messaging action available.
The Calendar looks different when I change views.
What this usually means
Daily, Weekly, Monthly, and Yearly Calendar views are designed to show different levels of schedule detail. The same appointment may therefore be presented differently depending on the view.
What to check
- Confirm that you are looking at the same date in each view.
- Open the appointment itself to verify its saved information.
- Use the view that provides the level of detail you need.
How to correct it
No correction is needed when the difference is simply the way each Calendar view presents schedule information.
Before contacting Peach Suite Pro Support
If the problem continues, gathering a few details can make troubleshooting much faster.
Have the following information available when possible:
- The appointment date and time.
- The client's name.
- The provider, if applicable.
- The service being booked or performed.
- The appointment's current status.
- The exact message displayed by Peach Suite Pro.
- The action you clicked immediately before the problem occurred.
If an error or unexpected message is displayed, a screenshot can also be helpful.
