Calendar & Appointments FAQ
This FAQ answers common questions about using the Peach Suite Pro Calendar and managing appointments. For more detailed instructions, see the related Calendar, Appointments, Calendar Views, and Daily Schedule Help pages.
1. What is the difference between Calendar and Calendar Views?
Calendar explains the main Peach Suite Pro scheduling workspace and the appointment actions available from it.
Calendar Views explains how to move between the different calendar perspectives, including daily, weekly, monthly, and yearly views.
Use Calendar when you want to understand appointment management. Use Calendar Views when you want to understand how to navigate and view the schedule.
2. What is the Daily Schedule?
The Daily Schedule gives you a focused view of one business day. It is useful when you want to review today's appointments, clients, services, appointment statuses, and available actions without viewing the entire week or month.
You can open the Day View from the Calendar when you want to focus on a specific date.
3. What do the appointment statuses mean?
Appointment statuses help Peach Suite Pro show where each appointment is in its lifecycle.
- Booked — the appointment is active and scheduled.
- Imported — the appointment was imported and may need review.
- Overdue — the scheduled appointment time has passed and the appointment still needs attention.
- Completed — the appointment has been finished.
- Cancelled — the appointment was cancelled and the scheduled time was released.
- No Show — the client did not attend the appointment.
The actions available for an appointment may change based on its current status.
4. Can I reschedule a Booked appointment?
Yes. A Booked appointment can be rescheduled to a new date and time when the requested time is available.
Rescheduling changes the appointment date and time while preserving the existing client, service, provider, duration, price, and notes.
If other appointment details need to change, use Edit Appointment.
5. Can I reschedule a Cancelled appointment?
Yes. A Cancelled appointment can be rescheduled.
When a cancelled appointment is successfully rescheduled, Peach Suite Pro returns it to Booked status and places it at the new date and time.
This lets you preserve the original appointment record and history instead of creating an unrelated replacement appointment.
6. Why can't I reschedule a Completed or No Show appointment?
Completed and No Show appointments represent historical outcomes. Peach Suite Pro prevents them from being rescheduled so the original appointment history remains accurate.
If the client needs another appointment, create a new appointment instead.
7. What happens when I cancel an appointment?
Cancelling a Booked appointment changes its status to Cancelled and releases the scheduled time so it is available again.
The appointment is preserved rather than immediately deleted. This keeps its history available and allows the cancelled appointment to be rescheduled later if needed.
8. What is the difference between Cancel and Delete?
Cancel preserves the appointment and its history while releasing the scheduled time.
Delete permanently removes the appointment record. Peach Suite Pro records the deletion through its audit/history process where applicable.
In most normal scheduling situations, use Cancel instead of Delete.
Delete should generally be reserved for records that truly should not remain as appointments, such as an appointment created by mistake.
9. What does Finish Session do?
Finish Session begins the appointment close-out workflow after the service is complete.
Peach Suite Pro moves you into the income close-out process so payment and revenue information can be recorded or reconciled. After the income step, you continue to the Post Appointment Wrap-Up for final session information.
This keeps the appointment, income, and post-appointment workflow connected.
10. When should I use Add Income?
Use Add Income when recording the revenue associated with an appointment.
If Square was used, the Peach Suite Pro close-out workflow may allow Square payment information to be retrieved and reconciled. If another payment method was used, the income information can be entered manually.
After the income step is completed, continue through the Post Appointment Wrap-Up as appropriate.
11. Can I view an appointment's history?
Yes. Use History when it is available for the appointment.
Appointment history helps you review important activity associated with the appointment, including changes made during its lifecycle.
This is especially useful when you need to understand what happened to an appointment instead of relying only on its current status.
12. How do appointment reminders work?
When the reminder action is available, use Send Reminder to send an appointment reminder using the communication options available to the business and client.
Reminder delivery depends on the business's configured communication services and the client's applicable contact preferences and consent.
13. Why isn't an appointment showing where I expect it?
If an appointment does not appear where expected, check the following:
- Confirm the appointment date and time.
- Confirm you are looking at the correct calendar date or view.
- Check the appointment's current status.
- Review any active appointment filters.
- Check whether the appointment was imported and still needs review.
- Open the Daily Schedule or another Calendar View for the same date.
If the appointment still cannot be located, use the Appointments list and search or filter tools to find the record.
14. Can Coach Peach help me identify appointments that need attention?
Yes. Coach Peach can surface appointment-related items in areas such as the Daily Briefing and needs-attention workflows.
For example, Coach Peach may help draw attention to overdue appointments, today's schedule, tomorrow's appointments, or upcoming activity so you can decide what needs attention next.
