Add New Employee
Overview
Use Add New Employee whenever a new employee, provider, or team member joins your business.
The information entered in the employee record may be used throughout Peach Suite Pro for scheduling, compensation, reporting, security, employee verification, and business analytics.
Creating a complete and accurate employee record helps ensure that appointments, financial activity, permissions, and reports are assigned to the correct person.
Typical Employee Information
Depending on your business configuration, an employee record may include:
- First name
- Last name
- Preferred display name or nickname
- Position or employee role
- Telephone number
- Email address
- Compensation method
- Hire date
- Provider status
- Active status
- Provider calendar color
- Administrative notes
Future versions of Peach Suite Pro may also support certifications, professional licenses, payroll information, employment documents, and additional employee details.
Employee Name
Enter the employee's legal first and last name whenever possible.
If the employee uses a different name in daily business operations, enter that name in the preferred display name or nickname field.
The preferred name may appear on calendars, appointment records, provider selections, and other areas of Peach Suite Pro.
Employee Role or Position
Select the role or position that most accurately represents the employee's responsibilities.
An employee role may affect:
- Page and feature access
- Administrative permissions
- Provider scheduling
- Financial visibility
- Employee verification requirements
- Available business-management tools
Assign only the access and permissions needed for the employee's responsibilities.
Provider Status
Enable Provider status when the employee performs services that may be assigned to appointments.
An employee marked as a provider may appear in:
- Provider selection menus
- Calendar views
- Daily schedules
- Appointment records
- Provider reports
- Online booking availability, when enabled
Employees who do not perform scheduled services generally should not be marked as providers.
Compensation Information
Select the appropriate compensation method when compensation tracking is used by your business.
Compensation may be based on:
- Hourly pay
- Salary
- Service commission
- Retail commission
- Booth or suite arrangement
- Another configured compensation method
Review compensation settings carefully before using employee pay summaries or compensation reports.
Active Status
Keep the employee marked as Active while they currently work with the business.
When an employee leaves the business, change the employee to Inactive instead of deleting the record.
Deactivating a former employee preserves important historical information, including:
- Past appointments
- Provider assignments
- Compensation records
- Financial reports
- Audit and verification history
Inactive employees should no longer appear as available for new scheduling or other current employee selections, unless specifically allowed by the page.
Saving the Employee
Before saving the employee record:
- Review the employee's name and contact information.
- Confirm the correct role or position.
- Verify the provider and active-status settings.
- Review compensation information, when applicable.
- Select Save.
After the record is saved, the employee becomes available in the appropriate areas of Peach Suite Pro based on their role, status, and permissions.
Best Practices
- Use each employee's legal name in the main name fields.
- Use the preferred display name field for a nickname or commonly used name.
- Keep telephone numbers and email addresses current.
- Assign the correct employee role and permissions.
- Mark only service-performing team members as providers.
- Review compensation settings before processing employee reports.
- Review employee records regularly for accuracy.
- Deactivate former employees instead of deleting historical records.
