Managing Expenses in Peach Suite Pro

The Expenses area in Peach Suite Pro helps you record, organize, and review the costs associated with operating your business.

Keeping expense records current helps you understand where your money is going and provides more accurate business reporting.

What You Can Manage in Expenses

Depending on your workspace and enabled features, expense records may include:

  • Expense date
  • Expense name or description
  • Vendor or payee
  • Expense category
  • Amount
  • Payment method
  • Notes
  • Recurring schedule information
  • Automatic processing settings

Adding a New Expense

Use the available Add Expense option to record a new business expense.

Enter the information that accurately reflects the transaction. At minimum, make sure the expense date, description, and amount are correct.

If categories are available in your workspace, select the category that best represents the purpose of the expense.

Expense Categories

Expense categories help organize business costs for easier review and reporting.

Examples may include:

  • Rent
  • Utilities
  • Supplies
  • Inventory
  • Marketing
  • Software
  • Insurance
  • Professional Services
  • Equipment
  • Other operating expenses

Use the most appropriate category available in your workspace rather than creating inconsistent descriptions for similar expenses.

Recurring Expenses

For expenses that occur on a regular schedule, Peach Suite Pro supports recurring or automatic expense processing.

Recurring schedules may include:

  • Weekly
  • Monthly
  • Quarterly
  • Annual

Examples of recurring expenses include rent, subscriptions, insurance, software, and other regular operating costs.

Automatic Expense Processing

Recurring expenses may use different processing behaviors depending on how you want Peach Suite Pro to handle them.

Available processing types may include:

  • Automatic with Alert — the expense is processed automatically and an alert is provided.
  • Automatic Silent — the expense is processed automatically without requiring routine user action.
  • Reminder Only — Peach Suite Pro reminds you that the expense is due, but does not automatically post it.

Choose the processing behavior that matches how predictable and reliable the expense is.

When to Use Automatic Processing

Automatic processing is most appropriate for expenses that are consistent and expected.

Examples may include fixed rent, recurring subscriptions, or other regular charges with predictable amounts.

If the amount changes frequently or requires confirmation before posting, consider using a reminder instead of automatic processing.

Review Expense Details Carefully

Before saving an expense, confirm:

  • The expense date is correct
  • The amount is correct
  • The category is appropriate
  • The vendor or description is accurate
  • The payment information is correct
  • Recurring settings are correct, when applicable

Editing an Expense

If an expense record contains incorrect information, use the available Edit option to update it.

Make changes only when the record itself is incorrect. Avoid changing historical information simply to match a later transaction.

Recurring Expense Changes

If a recurring expense changes, review both the recurring setup and any existing expense records.

For example, if monthly rent changes, update the future recurring expense amount rather than changing previously recorded rent payments that were correct at the time.

Payment Health

Peach Suite Pro may provide Payment Health information to help identify recurring expenses that need attention.

Review any warnings or alerts so recurring expenses continue to process as expected.

Expense Accuracy

Accurate expense records are important for business reporting and financial review.

Peach Suite Pro does not determine whether a business expense is deductible for tax purposes. Tax treatment may depend on your business, jurisdiction, and individual circumstances.

Consult a qualified tax or accounting professional when you need guidance about tax classification or deductibility.

Reviewing Your Expenses

Review expense records regularly to make sure they reflect actual business activity.

Pay particular attention to:

  • Duplicate expenses
  • Unexpected recurring expenses
  • Incorrect amounts
  • Incorrect categories
  • Expenses that should have ended
  • Recurring expenses that failed to process

Best Practices

  • Record expenses promptly.
  • Use consistent categories.
  • Keep descriptions clear and recognizable.
  • Review recurring expenses periodically.
  • Update recurring schedules when business costs change.
  • Verify automatic expenses before relying on them long term.
