Square — Sync All to Square

Use Sync All to Square when you want Peach Suite Pro to process supported business information that needs to be synchronized with your connected Square account.

This guide explains what synchronization does, what you should expect while it is running, how to review the result, and what to do if the synchronization is interrupted or something needs attention.

What Does Sync All to Square Do?

Sync All to Square starts a supported synchronization process between Peach Suite Pro and Square.

Depending on your business setup, supported information may include clients, services, products or catalog information, and supported inventory information.

Synchronization follows the rules of each type of information. Not every Peach Suite Pro record is automatically sent to Square, and not every Square record becomes a Peach Suite Pro record.

Before You Start

Before selecting Sync All to Square:

  1. Make sure you are working in the correct business.
  2. Confirm that the correct Square account is connected.
  3. Make sure you are ready for the supported information to be synchronized.
  4. If you are running the sync for a specific reason, consider adding a note or comment to the sync run if that feature is available.
Important: Always confirm that the correct business and Square account are connected before starting synchronization.

How to Start Sync All to Square

Step 1 — Open the Square Control Center

From the Peach Suite Pro main menu, select Square and open the Square Control Center.

Step 2 — Confirm the Connection

Review the Square connection status before starting the synchronization.

If the connection is not active, resolve the connection problem before beginning the synchronization.

Step 3 — Select Sync All to Square

Select Sync All to Square.

Peach Suite Pro will begin processing the supported information that needs to be synchronized.

Step 4 — Let Peach Suite Pro Process the Sync

A synchronization may take time, especially when there is a large amount of information to process.

Peach Suite Pro provides progress information so you can see that the synchronization is being processed.

Do not repeatedly click Sync All to Square. If a synchronization is already processing, starting another run may make it harder to determine what happened.

What Should I Expect During a Large Sync?

A larger synchronization may take several minutes or longer, depending on the amount of supported information being processed.

Peach Suite Pro is designed to retain synchronization progress so an interrupted process can be reviewed and, when supported, resumed.

You do not need to remain on the synchronization screen simply to make the synchronization continue.

What Happens If I Leave the Page?

If Peach Suite Pro allows the synchronization to continue and later provides a Resume Sync option, use that option to continue the existing synchronization.

Before starting another synchronization, check the current status in Sync Activity.

How Do I Know When the Sync Is Finished?

Open Sync Activity and review the most recent synchronization run.

Review the overall status and any items that may need additional attention.

What Does a Successful Sync Mean?

A successful synchronization means Peach Suite Pro completed the supported synchronization work represented by that run.

It does not necessarily mean that every possible record in your business was sent to Square. Synchronization applies only to the supported information covered by the applicable Square workflow.

What If the Sync Is Interrupted?

If the synchronization is interrupted, first open Sync Activity.

Review the current run and look for a Resume Sync option.

If Resume Sync is available, use it to continue the existing synchronization rather than starting another full run.

Tip: If you are not sure whether the synchronization actually stopped, check Sync Activity before doing anything else.

What Does Resume Sync Do?

Resume Sync allows Peach Suite Pro to continue a previously interrupted synchronization when the existing run can safely be continued.

It is intended to continue the existing work, not to create a completely new synchronization request unnecessarily.

What If Something Fails?

A synchronization failure does not automatically mean that your entire Square connection is broken.

The problem may involve one client, one service, one product, one inventory item, or another specific part of the synchronization.

Start with Sync Activity and review the reported problem.

What Does Needs Attention Mean?

Needs Attention means Peach Suite Pro could not complete an item or operation automatically and needs you to review the available information.

  1. Open the affected item or synchronization run.
  2. Review the available details.
  3. Correct the underlying information when necessary.
  4. Retry the synchronization when appropriate.

Should I Run Sync All Again?

Not automatically.

First determine what happened to the previous synchronization. Review Sync Activity and use Resume Sync when it is available.

If the problem involved only a specific item, address that item rather than repeatedly starting another full synchronization.

Can Sync All Create Duplicate Information?

Peach Suite Pro includes duplicate-protection behavior for supported synchronization operations.

Even with duplicate protection, you should not repeatedly start additional synchronization runs when you are unsure what happened. Review the current status first.

Can I Add a Note to a Sync Run?

When the optional sync-run comment feature is available, you can add a short note explaining why you started the synchronization.

Examples include:

  • This was for testing.
  • This was for card stock.
  • Added new services for September.
  • Updated products before the weekend event.

A note helps provide business context later when reviewing Sync Activity.

Tip: Keep sync notes short and useful. The note is for your business context; it does not replace the technical synchronization status.

What If I Am Running a Test?

If you are intentionally running a test synchronization, adding a note such as Test sync can make the run much easier to identify later in Sync Activity.

Test activity should still be performed carefully and only when you understand what information the synchronization will process.

What If Only One Type of Information Has a Problem?

A problem with one type of information does not necessarily mean that the entire Square synchronization failed.

For example, a client problem, service problem, product problem, or inventory problem may be isolated to that particular item.

Use Sync Activity to determine the scope of the problem.

What If the Square Connection Is No Longer Active?

Check the Square Control Center before attempting another synchronization.

If the connection needs to be repaired or reauthorized, resolve the connection first.

Coach Peach and Sync All to Square

Coach Peach may bring important Square synchronization issues to your attention when something needs review.

Depending on the situation, Coach Peach may provide actions such as:

  • Retry Now
  • View Details / Sync Activity
  • Dismiss

Coach Peach helps explain and prioritize the issue. The actual synchronization and its reported status come from the synchronization system.

Common Sync Mistakes to Avoid

  • Do not repeatedly click Sync All to Square while a synchronization is already processing.
  • Do not start a new full synchronization before checking Sync Activity.
  • Do not assume that one failed item means the entire Square connection is broken.
  • Do not reconnect Square simply because one individual item failed to synchronize.
  • Do not create duplicate business records to compensate for a synchronization problem without first checking the existing records.
