Square — Daily Sales

The Peach Suite Pro Daily Sales view helps you review Square payment activity and understand the sales amounts recorded for your business.

This guide explains what the Daily Sales view shows, how to understand the amounts, how the different totals relate to one another, and what to check when something does not look right.

What Is Daily Sales?

Daily Sales provides a business-focused view of supported Square payment activity in Peach Suite Pro.

Instead of reviewing each transaction only as a payment record, Daily Sales helps you see the sales activity for a selected business time period.

Depending on your business configuration, supported views can include:

  • Today
  • Weekly
  • Monthly
  • Year to date

Why Would I Use Daily Sales?

Daily Sales is useful when you want a quick view of payment activity without opening individual transactions one at a time.

You may use it to:

  • Review today's Square sales.
  • Check sales activity for a larger time period.
  • Review tax, tips, and processing fees.
  • Understand the net amount associated with the transactions.
  • Investigate a payment when something does not appear to match another business record.

Where Do I Find Daily Sales?

Open the applicable PeachPOS Daily Sales view from Peach Suite Pro.

Your business configuration determines which Square sales information is displayed.

Today's Sales

The Daily Sales view can be used to review Square payment activity for the current business day.

This gives you a convenient way to see what has been recorded without opening every individual payment.

Tip: If you are looking for one specific payment, use the payment details or reconciliation workflow rather than relying only on the daily total.

Weekly Sales

The weekly view helps you review Square sales activity across the applicable business week.

This can be useful for comparing overall activity with your normal weekly business operations.

Monthly Sales

The monthly view provides a broader picture of Square sales activity for the applicable month.

Monthly sales can be useful for business review, planning, and comparing sales activity with expenses or other operating information.

Year-to-Date Sales

The year-to-date view helps you understand Square sales activity accumulated during the current year.

Year-to-date information is useful for broader business review and financial planning.

Understanding the Numbers

Square transactions can contain several separate amounts. These amounts represent different parts of the transaction and should not automatically be expected to be identical.

Sales

Sales represents the sales amount associated with the transaction.

Tax

Tax represents applicable sales tax associated with the transaction.

Tip

Tip represents tip information associated with the payment.

Processing Fee

Processing Fee represents the applicable Square payment processing fee associated with the transaction.

Net Received

Net Received represents the amount remaining after applicable processing fees.

Why Doesn't Net Received Equal Sales?

Sales and net received represent different things.

Sales describes the sale amount associated with the transaction. Net received reflects the amount remaining after applicable processing fees.

As a result, it is normal for these values to be different.

Tip: When reviewing a transaction, look at the Sales, Tax, Tip, Processing Fee, and Net Received values separately instead of comparing only two totals.

What About Tips and Taxes?

Tips and taxes are separate transaction components.

A transaction can therefore have a sales amount plus tax and/or tip, along with a processing fee.

Review each component when you are trying to understand why a final amount differs from the original sale amount.

What Is the Square Payment ID?

The Square Payment ID is the identifier associated with the Square payment.

It can be useful when locating a specific transaction or when working with payment reconciliation or support.

What Is the Square Created Time?

The Square Created Time represents the transaction time associated with the Square payment.

This can differ from the appointment time because an appointment and a payment are separate business events.

Why Does the Payment Time Differ From the Appointment Time?

The scheduled appointment time represents when the appointment was scheduled to occur.

The Square-created time represents when the payment transaction was created in Square.

These times do not have to be identical.

How Daily Sales Relates to Appointments

Daily Sales and appointments are related business information, but they serve different purposes.

An appointment records a scheduled or completed service visit. Daily Sales summarizes supported payment activity.

For appointment-based businesses, a Square payment may be connected to an appointment through the normal close-out workflow or through reconciliation when additional review is required.

What If a Square Payment Is Missing From an Appointment?

Daily Sales may show the payment even when it has not yet been connected to the expected appointment or income record.

Start with the appointment close-out process or Reconcile Square Payments, depending on the situation.

What If the Daily Sales Total Looks Wrong?

First determine whether you are comparing the same type of amount.

  1. Check the time period you are reviewing.
  2. Review Sales.
  3. Review Tax and Tip.
  4. Review Processing Fee.
  5. Review Net Received.
  6. Open individual payment details when you need to investigate a specific transaction.

If the difference still cannot be explained, review the payment through the applicable reconciliation workflow.

What If I Cannot Find a Specific Payment?

  1. Confirm the date and time range you are reviewing.
  2. Confirm that you are in the correct business.
  3. Check the connected Square account.
  4. Review the individual payment information.
  5. Use Reconcile Square Payments when the payment requires matching or additional review.

What If Square Is Connected but Sales Are Not Appearing?

First check the Square connection status.

Then review Sync Activity to determine whether payment synchronization is processing, completed, failed, or requires attention.

A connection can be active while an individual synchronization process still requires attention.

What If Only One Payment Is Missing?

A single missing payment does not necessarily mean that the entire Square connection is broken.

Review that specific payment and use the appropriate reconciliation workflow when needed.

Daily Sales and Reconciliation Are Different

Daily Sales helps you review sales activity.

Reconcile Square Payments helps you resolve situations where a payment needs to be matched or connected to a Peach Suite Pro business record.

Use Daily Sales to understand the activity. Use reconciliation when a specific payment needs additional action.

Daily Sales and Income Are Related but Not Identical

Square payment activity and Peach Suite Pro income records are related, but they are not necessarily the same underlying record.

An income record represents a Peach Suite Pro business accounting entry. A Square payment represents a payment transaction processed through Square.

Reconciliation helps connect these records when necessary.

How Daily Sales Fits Into PeachPOS

Daily Sales is especially useful for businesses that use PeachPOS Daily Sales processing.

This can be useful when sales are not naturally tied to individual appointments, such as retail, event, food, or other daily-sales environments.

Businesses that primarily take appointment-based payments may rely more heavily on the appointment-service workflow.

What If My Business Uses Appointment-Service Processing?

Your business may still have access to supported Square payment information, but the normal workflow may focus more heavily on retrieving the payment during appointment close-out.

The typical workflow is:

  1. Finish Session
  2. Add Income
  3. Retrieve Square Data
  4. Review the payment
  5. Continue to Session Notes

Common Mistakes to Avoid

  • Do not assume Sales and Net Received should be identical.
  • Do not compare an appointment time directly with a Square transaction time without considering what each timestamp means.
  • Do not create a second income record simply because a payment is not immediately visible where you expected it.
  • Do not assume one missing payment means the entire Square connection is broken.
  • Do not repeat payment or synchronization actions before checking the current status.

When Should I Contact Support?

Contact Peach Suite Pro Support when:

  • A payment remains missing after checking the connection, synchronization activity, and applicable reconciliation workflow.
  • A transaction appears inconsistent and you cannot determine why.
  • Sales information appears incorrect after reviewing the applicable time period and transaction components.
  • You cannot determine whether a transaction was processed or already recorded.
Helpful information to provide: the business, date and approximate time, transaction amount, Square Payment ID if available, and any related appointment or income information.
