Gift Certificate Reminders
Gift Certificate Reminders help the business follow up on active gift certificates and keep purchasers or recipients informed.
Reminders may be useful when a gift certificate has not yet been delivered, opened, used, or fully redeemed.
Common Uses for Gift Certificate Reminders
Gift Certificate Reminders may be used for situations such as:
- Confirming that a gift certificate was issued
- Reminding the purchaser to provide the certificate to the recipient
- Reminding the recipient that an unused gift certificate is available
- Following up on a remaining gift certificate balance
- Providing instructions for scheduling an appointment
- Sending a reminder before an expiration date, when applicable
Use reminders only when they are appropriate for the gift certificate and the intended recipient.
Selecting a Gift Certificate
Before creating or sending a reminder, confirm that the correct gift certificate has been selected.
Review information such as:
- Gift certificate number
- Purchaser name
- Recipient name
- Recipient email address
- Original value
- Remaining balance
- Current status
- Issue date
- Expiration date, when applicable
Confirm that the gift certificate is still active and that the reminder information is accurate.
Recipient Information
A valid recipient email address is required when the reminder will be sent by email.
Review the recipient’s name and email address before sending the message.
If the gift certificate was purchased for another person, confirm that the reminder is being sent to the correct individual.
A purchaser and recipient may have different contact information.
Reminder Message
The reminder should clearly identify the business and explain why the recipient is receiving the message.
A Gift Certificate Reminder may include:
- Business name
- Recipient name
- Gift certificate number or reference
- Remaining balance
- Scheduling instructions
- Business phone number or email address
- Expiration information, when applicable
Avoid including unnecessary financial, client, treatment, or other sensitive information.
Scheduling a Reminder
When scheduling is available, select the date when the reminder should be prepared or sent.
Choose a date that gives the recipient enough time to review the message and contact the business.
Before scheduling, confirm:
- The correct gift certificate is selected
- The recipient email address is correct
- The reminder message is appropriate
- The scheduled date is correct
- The gift certificate is still active
Reminder Status
A reminder may display a status such as:
- Pending
- Scheduled
- Sent
- Failed
- Cancelled
- Skipped
A Sent status means that Peach Suite Pro submitted or processed the reminder. It does not necessarily confirm that the recipient opened or read the email.
Review failed or skipped reminders for an invalid email address, inactive gift certificate, missing information, or another processing issue.
Avoiding Duplicate Reminders
Review previous reminders before sending or scheduling another message.
A reminder may already be pending or may have recently been sent.
Avoid sending multiple reminders within a short period unless additional communication is necessary.
Too many messages may confuse the purchaser or recipient.
Gift Certificate Balance and Status
A reminder should reflect the current gift certificate balance and status.
Do not send a reminder describing a gift certificate as available when it has already been fully redeemed, cancelled, voided, or otherwise made inactive.
If the certificate has a remaining balance, verify that the amount is correct before including it in the reminder.
Communication Preferences
Gift certificate communications should be sent only to appropriate recipients using valid contact information.
Respect all applicable email preferences, opt-out requests, and communication requirements.
A gift certificate reminder should relate directly to the certificate and should not be changed into an unrelated promotional message without the appropriate consent.
Best Practices
- Confirm the recipient before sending
- Use a clear and professional message
- Verify the current balance and status
- Include simple scheduling or contact instructions
- Review reminder history to avoid duplicates
- Correct invalid email addresses before resending
- Do not include sensitive client information
- Respect all communication preferences and opt-out requests
